Effective academic records management is essential for ensuring accountable and efficient administrative services in higher education institutions. This study aimed to evaluate how academic records management supports employee functional promotion administration. It used an evaluative study with a mixed-methods approach, conducted through document analysis, questionnaires, interviews, and observations. Quantitative data were analyzed using descriptive statistics, while qualitative data were analyzed through data reduction, categorization, and interpretation. The findings indicate that academic records management was generally rated positively, with an overall mean score of 4.12 on a five-point scale. Digital record systems and records storage received the highest ratings, whereas policy dissemination, archival audits, and continuous system evaluation were identified as areas requiring improvement. These findings highlight the need to strengthen archival governance, administrative procedures, and staff competencies to improve the effectiveness and sustainability of functional promotion administration in higher education institutions.
